Barcombe Village Hall - a modern sustainable hall that caters for all occasions

 

To comply with Government advice, the Village Hall Trustees wish to ensure all users can be guaranteed a safe and sanitised environment in which to return and access our facilities. A full risk assessment is available from the Booking Secretary.  The risk assessment is updated regularly and may be subject to change at any time in line with Government and Village Hall Guidelines. The full risk assessment is forwarded to the hirer at the time of booking along with a Covid Management agreement to be signed by the hirer and the management committee.

Responsibility of Hirer/Organiser:       

  • Ensuring that hand washing, or use of hand sanitiser, is undertaken at the beginning and end of sessions.
  • Social distancing of users, this will affect the number of people that can be in the hall at any one time and is the responsibility of the hirer.  Also dependent on any government rulings regarding the size of groups/ gatherings, at present the maximum number for events in main hall is 30, weddings are 15. Maximum number in main hall for exercise classes/workshops and other activities is 15.This includes organisers and instructors. Children’s parties are 12 plus 3 supervising adults.
  • Groups with a maximum of 6 only and there should be no ‘mingling’ between groups.
  • Face coverings must be worn in the building for all events. Exclusions are only while exercising, eating or drinking or for medical reasons; children under the age of 11yrs do not need to wear them.        
  • It is now mandatory that it is the hirers responsibility to keep a register of the users attending the session/event for track and trace purposes; should there be a Covid outbreak contact can be made with users at the event so that they are aware of the outbreak and who they may have had contact with; this is kept for 21 days by the hirer. QR Code available in entrance to hall, but Trustees request that a list is still kept as not all people have access to Smartphones.
  • The hirer must not allow anyone who is ill to attend the event, meeting or activity; if they turn up unwell, they must be sent home immediately.
  • Keep doors open where possible to allow flow of air through the hall enabling good ventilation.
  • Only one person is allowed in the toilets at any one time.
  • At the end of the session the hirer is responsible for wiping down all surfaces that are used in the hall, kitchen and toilets, this also includes chairs, door handles and ensuring that the floor has been wiped over with Anti Bac wipe on the mop provided and disposed after use. Pedal bins are emptied and ready for the next hirer.

 

We are not expecting this to be a deep clean, but it will be the responsibility of the hirer to ensure that surfaces etc as stated above are wiped down regularly during use and at the end of the session in readiness for the next hirer. We will be cleaning the hall on a daily basis as usual. 

 

Responsibility of Village Hall Management Committee:

  • Enhanced cleaning to be undertaken before hall is open to the public in September 2020 and when necessary thereafter.
  • Cleaning will be continuing on a daily basis as usual and we will ensure that all surfaces and touch points are disinfected and thoroughly cleaned. 
  • Anti-bacterial soap is available in the toilets. Hand dryers and paper towels are available for use. Only one person allowed in toilets at any time.
  • Hand sanitiser provided in the main entrance hall and all halls.
  • Tissues provided in each hall.
  • We will provide a Wipe Down Kit, these will include disinfectant wipes, disposable gloves, aprons and spray for your use during and at the end of the session.
  • Mops for wiping over the floor will be available - Swiffer mops that use disposable Anti-Bac wipes for ease of use. The wipes are kept in the Wipe Down box.
  • There will be lidded pedal bins in all halls.
  • In the event of a guest becoming unwell with suspected Covid-19, the hirer must send them home immediately. If unable to leave immediately, they must wait in the designated safe waiting area. Please see Covid-19 treatment plan on the wall in small room at front entrance.
